How to manage your versions

Understanding file versions, recording versions, and new works to maintain quality control throughout your creative process.

Version management is critical for maintaining quality control and tracking project evolution throughout the creative and review process. The system provides sophisticated tools for managing different types of versions and understanding their relationships.

Intelligent file management

In your Project, any subsequent files added is analyzed and matched to your existing Recordings. MusicTeam can detect if the newer file you uploaded is a:

  • a new file version

  • a new recording version

  • a completely new song (new recording and new musical work)

File version

File versions track changes to individual audio files within a project. For example, the original file was your main track, but you adjusted some EQs and added some effects. When you upload this new file, MusicTeam will recognize that these are minor changes, meaning you won't have to enter new metadata and contributors. File versions allow you to manage multiple iterations of the audio files while maintaining the same metadata.

Recording version

Recording versions represent different takes, mixes, or masters. For example, your original file might be the main track, while your new file is the instrumental version. When you upload this new file, MusicTeam will recognize it as a new recording with the same underlying work. In this case, only Contributors with roles of Composer, Lyricist, or Songwriter will be automatically retained. You'll need to add new Contributors related to this specific recording, such as engineers, producers, and musicians.

Recording version with a new underlying musical Work

Recording versions that change the underlying musical composition, such as new arrangements or structural modifications, are treated as new musical works. This distinction is crucial for rights management, publishing, and ensuring proper credit attribution for all contributors. Note that no Contributors from your previous Recordings will be automatically added.

Managing your versions

File and version management is handled automatically, but requires your confirmation.

  • Upload a file and wait for processing to complete

  • Confirm whether it's a file version, new recording, or new recording with new work

  • If it's:

    • a new file version: your file will be added to the same Recording

    • a new recording: you'll be redirected to a form for additional metadata and contributors. Once saved, this recording will appear under the same Project

    • a new recording and new work: you'll be redirected to a form for additional metadata and contributors. Once saved, this recording will appear under the same Project

File version management

When a new file version is added to an existing Recording, each file version may contain a different set of Contributors. For example:

  • RecordingA has 2 file versions

  • V1 file contains 2 engineers

  • V2 file has 4 engineers

On your summary page where you submit to the label, you can view the different files added to this Recording. To view the list of Contributors for each file:

  • Click on Projects

  • Click on the specific Recording

  • At the top, in the second dropdown (on the right), select the specific file

You can also roll back to a previous version and make adjustments from there. You can toggle between different file versions and set one as active.

To control the active file version:

  • Click on Projects

  • Click on the specific Recording

  • At the top, in the second dropdown (on the right), click on [ ⚙️ ]

  • Toggle to your preferred file version to set it as active.
